PulseBridge ("PulseBridge", "we", "us") is a healthcare patient acquisition and appointment routing platform that connects patients with healthcare providers. This Privacy Policy explains what information we collect, how we use it, and the rights you have. By using PulseBridge, you agree to the practices described below.

1. Information we collect

We collect only what we need to connect patients with the right clinic:

  • Patient information: name, phone number, email (optional), location (state, city, area), the service you need, age range, preferred appointment time, and notes you share at booking.
  • Clinic information: clinic name, address, contact details, services offered, staff information, photos, operating hours, capacity, and the bank/payment details used for payouts.
  • Account information: email, password (stored encrypted), and role (clinic, admin).
  • Usage information: pages visited, devices, IP address, referral codes used, and interactions with messages and notifications.
  • Feedback: ratings, comments and dispute information you submit after an appointment.

2. How we use patient information

  • To route you to a clinic that can deliver the care you requested.
  • To create and confirm your appointment.
  • To send reminders and follow-ups via WhatsApp, SMS or email.
  • To verify that you attended your appointment.
  • To collect feedback about your experience.
  • To respond to support requests.

We do not sell patient information. We do not use clinical details for advertising.

3. How we use clinic information

  • To display clinics to patients searching for care.
  • To assign incoming patients based on service, location, capacity and quality score.
  • To process appointment bookings and verify attendance.
  • To run marketing campaigns the clinic has authorised.
  • To produce performance reports for the clinic and for PulseBridge.

4. Appointment routing

When a patient submits a booking or finds care through PulseBridge, we match the request against approved clinics using service type, geographic area, clinic availability, capacity and historical quality. The patient's contact details are shared only with the clinic that receives the routed appointment.

5. Messaging and notifications

PulseBridge sends appointment confirmations, reminders, follow-ups and satisfaction surveys through WhatsApp, SMS and email. By providing a phone number or email, you consent to receive these messages. You can opt out of non-essential messages at any time by replying STOP or emailing us. Transactional messages (e.g. appointment confirmations) continue while you have an active booking.

6. Referral tracking

When a patient shares a PulseBridge referral link, we record the referrer, the referred patient, the date of the referral and whether the referred patient becomes a verified booking. This is used to attribute new patients to the people who recommended us and to power future referral rewards. We do not share clinical details with the referrer.

7. Analytics and performance tracking

We measure platform performance — bookings, attendance, conversion rates, campaign effectiveness and clinic quality scores — to improve routing and grow the network. Where possible, this analysis uses aggregated or de-identified data.

8. Data retention

We retain patient and appointment information for as long as needed to provide the service and to comply with applicable healthcare and tax record requirements. Account and clinic information is retained while your account is active and for a reasonable period after closure for legal, audit and dispute-resolution purposes. You can request earlier deletion (see "Your rights" below), subject to legal retention obligations.

9. Security measures

  • Encryption in transit (HTTPS) and at rest for stored records.
  • Role-based access controls and row-level security on the database.
  • Passwords are stored using strong one-way hashing.
  • Access to patient information is restricted to the assigned clinic and authorised PulseBridge staff.
  • Regular security reviews and monitoring of unusual activity.

No system is perfectly secure. If we discover a breach affecting your information, we will notify affected users without undue delay.

10. Your rights

  • Access the personal information we hold about you.
  • Correct inaccurate information.
  • Request deletion of your account and associated personal information, subject to legal retention requirements.
  • Withdraw consent to marketing messages at any time.
  • Lodge a complaint with the relevant data protection authority.

11. Children

Where a patient is a minor, bookings must be made by a parent or guardian, who is responsible for the information provided.

12. Changes to this policy

We may update this policy from time to time. Material changes will be communicated in the app or by email. Continued use of PulseBridge after an update means you accept the revised policy.
